Help Center : Company Name Scrub - Data Cleanup Widget

This article will demonstrate how to complete a ‘Company Name Scrub’ worksheet using the Data Cleanup Widget. This worksheet will help you normalize all company names in your system.

Instructions:

STEP 1: Generate a Company Name Scrub Worksheet

The Data Cleanup widget requires the user's login to have ‘Data Tool Cleanup’ admin permissions.

  1. From the ‘Data Cleanup' widget, use the ‘Choose a worksheet:’ pulldown and select 'Company Name Scrub’

  2. Once selected click on ‘Generate’

  3. From the ‘Company Name Worksheet’ information page select ‘Generate’. The ‘Company Name Scrub Worksheet’ will be available in your download folder.

This worksheet will generate a list of unique company names from the client's database. Please note that all columns that store a company name get included in generating this list and only unique names are displayed.

STEP 2: Organize the ‘Company Name Scrub Worksheet’

  1. Open the ‘Company Name Scrub Worksheet’ in Excel.

  2. Recommended settings/options in Excel:

    1. Turn on ‘Sort & Filter’ option

    2. Under the ‘View’ menu, select ‘Freeze Panes’ and choose ‘Freeze top Row’

  3. Recommended sort ‘CompanySortTxt’ A to Z. This will sort similar company names next to each other.

STEP 3: Complete the ‘Company Name Scrub Worksheet’

  1. Review the worksheet for company records that need to be updated.

  2. Once you have identified company names that need to be updated, copy the correct company name to the ‘CompanyFinalTxt’ column:

  3. Repeat for all company names that need to be updated.

  4. Save your Excel Worksheet.

IMPORTANT: When sorting the Excel worksheet, it is critically important that you sort across all rows so that the TIDs stay in alignment with the property information. If they become mixed up, this will cause serious issues with your database.

NOTE: It is important that you do not modify the column header names in the worksheet, they must remain the same as they were when exported.

When the worksheet is executed, the process will replace the old company name ‘CompanyTxt’ with the new company name ‘CompanyFinalTxt’. This will occur across the entire system, including Comps and Closed Deal.

STEP 4: Upload the ‘Company Scrub Worksheet’

  1. From the ‘Data Cleanup’ widget, use the ‘Choose a worksheet’ pulldown to select ‘Company Name Scrub ’ and click ‘Execute’.

  2. Enter a task ID - this is only for reference, you can use the current date without formatting: mmddyyyy

  3. Click on ‘Add file’ and find the saved worksheet on your computer and select

  4. Click on ‘Import the file’ and the wizard will walk you through the rest of the process.
